Privacy Policy for Daylight Marriage and Family Therapy PLLC

Effective Date: January 28th, 2026

1. Introduction

At Daylight Marriage and Family Therapy PLLC, we take your privacy seriously. This policy explains how we collect, use, and protect your information when you visit our website, www.daylighttherapyservices.com. This policy applies to information collected through the website and does not replace the formal Notice of Privacy Practices (NPP) provided to clinical clients under HIPAA [or your local equivalent].

2. Information We Collect

We may collect the following types of information:

  • Personal Information: Name, email address, and phone number when you voluntarily submit them via contact forms.
  • Technical Data: Your IP address, browser type, and how you interact with our site (via cookies). This helps us improve the user experience.
  • Clinical Information: We strongly discourage sending sensitive clinical or “venting” information via website forms. Any clinical information shared becomes part of our records but may not be 100% secure during transmission.

3. How We Use Your Information

We use your data to:

  • Respond to your inquiries or schedule initial consultations.
  • Send you requested resources.
  • Improve website functionality and security.
  • We will never sell, rent, or trade your personal information to third parties for marketing purposes.

4. Confidentiality and Disclosure

In the context of therapy, confidentiality is paramount. However, we may disclose your information in the following circumstances:

  • In order to comply with an investigation, law enforcement inquiry, government entities, courts, or other third parties as required or allowed by applicable law, such as for legal and/or safety purposes.
  • When necessary to prevent a clear and imminent danger to yourself or others.
  • Mandated reporting requirements for the abuse of children, elders, or dependent adults.

5. Third-Party Service Providers

To provide a secure and professional experience, we utilize specialized third-party platforms to manage scheduling, communications, and clinical records.

  • Jane.app (Practice Management): We use Jane.app for scheduling, billing, and clinical record-keeping. Jane.app is HIPAA-compliant and secures data with bank-level encryption. You can review the Jane.app Privacy Notice here.
  • Google Workspace (Communication & Storage): We use a professional, paid version of Google Workspace for HIPAA-compliant email, calendar, and document storage. We have entered into a Business Associate Agreement (BAA) with Google to ensure that all Protected Health Information (PHI) handled within Gmail, Google Drive, and Google Calendar meets federal security standards. Note that while our side of the communication is encrypted, standard email may not be secure once it leaves our server and reaches your provider.
  • Headway & Alma (Insurance & Billing): We partner with Headway and Alma to facilitate insurance credentialing, verify benefits, and process insurance claims. When you use these services, your insurance and billing information is processed according to their respective privacy standards.
  • Review the Headway Privacy Policy.
  • Review the Alma Privacy Policy.
  • Thrizer (Out-of-Network Billing & Payments): I partner with Thrizer to make out-of-network therapy more accessible. Thrizer allows you to verify OON benefits and, in some cases, only pay your co-insurance upfront while they manage the reimbursement process.

Financial Policy: Out-of-Network & Thrizer

  • Ultimate Responsibility: While I partner with Thrizer to simplify your out-of-network reimbursements, you (the client) remain ultimately responsible for the full fee of each session.
  • Insurance Denials: If your insurance carrier denies a claim submitted through Thrizer, or if Thrizer is unable to recover funds from your provider, you are responsible for the remaining balance of my standard private-pay rate.
  • Thrizer Fees: Please be aware that Thrizer may charge a small percentage fee (typically 1–3%) for their payment processing or “Thrizer Pay” services. These fees are independent of my professional session rate.

A Note on Email Security: We use a HIPAA-compliant version of Google Workspace (Gmail) to protect your privacy. However, please be aware that standard email is not a 100% secure method of communication. By choosing to communicate via email, you acknowledge and accept the privacy risks associated with unencrypted internet communication. For secure messaging, please use the Jane.app Client Portal.

6. Cookies and Tracking

Our website uses cookies to analyze traffic. You can choose to disable cookies in your browser settings, though some parts of the site may not function perfectly if you do.

7. Data Security

We implement industry-standard security measures (including encryption and 2-factor authentication). However, no method of transmission over the internet is 100% secure. By using this site, you acknowledge that you provide your personal information at your own risk.

8. Your Rights

Depending on your location, you may have the right to:

  • Request a copy of the data we have about you.
  • Request that we delete your personal data (subject to medical record retention laws).
  • Opt-out of any marketing communications.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page with a new “Effective Date.”
